Job Summary

The Contract Analyst is responsible for managing the administrative processing requirements for Group Purchasing Organization (GPO) and Individual Account Purchase Agreements (IPA). Works closely with the Field Sales Organization, GPO and other team members as well as cross-functional departments, i.e. Marketing and Finance.

Job Details/Responsibilities

  • Maintain membership lists for assigned GPO’s, buying groups and member organizations lists regularly (at least monthly) and communicate data for internal users.
    • Update GPO membership List.
    • Update any GPO Amendments tracking documents.
  • Responsible for the ongoing surveillance of upcoming Request for Quotations (RFQ), Request for Information (RFI), and Request for Proposal (RFP) that may be relevant to TMCI businesses and in collaboration with multiple stakeholders (sales, marketing and finance), lead and coordinate timely and compliant submissions. Monitor relevant hospital, GPO and & government bid websites and portals for all TMCI business and share such information with cross functional TMCI business units (sales, marketing, finance).
  • Partner with sales, marketing and finance to analyze contract compliance, pricing integrity, and overall contract performance with the goal of assisting in identifying business opportunities leading to improved contract and financial performance.Assist in the investigation of pricing discrepancies and issues and determine the root cause for resolution purposes along with adjustment. Update contractual price list files on a timely basis. 
  • Support Contract Analysts and Managers in the calculation and maintenance of Rebate programs
    • Rebate proposal development
    • Periodic sales report sharing
    • Rebate accruals and calculations
    • Rebate payouts
  • Provide assistance to Contract Analyst and Contract Manager in the management of GPO and hospital day-to-day contract maintenance.
    • Support & Maintenance - Load Pricing, Update Factsheet.
    • Monthly Expiry Emails.
    • Update Account List Report.
    • Assist with RFIs and RFPs.
  • Continually evaluate relevant internal processes, procedures and systems and proposes improvements to management. Demonstrate a commitment to patient safety and product quality by maintaining compliance with all TMC Quality Systems requirements. This includes but is not limited to the prompt recognition and forwarding of customer complaints (i.e. adverse events, product performance reports, etc.) to Quality Assurance (QA), and by ensuring all promotional messaging (i.e. branding strategies, product claims, etc.) and materials (i.e. literature) discussed or presented to customers are clinically accurate and adhere to AdvaMed guidelines and Terumo’s policy on Interactions with Healthcare Professionals.
  • Support Finance function during the annual budgeting exercise as it relates to Financial analysis, variance reporting, budget consolidation and submission.
  • Perform other job-related duties as assigned.

Knowledge, Skills and Abilities (KSA)

  • Fluently bilingual in French and English (able to read, write, and speak)
  • Ability to quickly learn Terumo’s products, procedures and systems.
  • Must have strong written, verbal and interpersonal skills.
  • Must be highly organized and be able to manage multiple priorities and deadlines while working under minimal supervision in a fast paced, deadline driven environment.
  • Strong computer skills including Microsoft Office (Excel, Word, PowerPoint, and Access) and ability to run recurring and adhoc reports through ERP systems preferably SAP, Oracle and/or Power BI
  • Self-motivated with a high basis for action and ability to function independently with minimal supervision.
  • Must be able to handle confidential information.
  • Must be detail orientated.

Qualifications/ Background Experiences

  • Bachelor’s Degree and minimum of 2 years contract analyst or administrative experience required or equivalent combination of education, training and relevant experience
  • Analytical experience with contracts including legal terms and conditions preferred. 
  • Experience with ERP system (i.e.  Oracle, SAP, etc. preferred.

Final compensation packages may be higher or lower than what is listed, and will ultimately depend on factors including relevant experience, internal equity, skillset, knowledge, geography, education, business needs and market demand.
